The Administrative Assistant – Projects is responsible for managing the entire contract documentation lifecycle, including compliance, distribution, and tracking of internal and external deliverables. The role involves effectively coordinating communication between clients, engineering, and project management teams, while providing technical support for document management platforms. Keep databases up to date, prepare progress reports, and support the project team in its administrative, technical, and mediation preparation activities.
The following responsibilities form the core of this role in our Canadian team.
• Manage and track internal & external contractual document submissions. Disseminate customer comments internally to Engineering and Project Management teams;
• Proactively examine documents (technical & non-technical) for compliance, resolve discrepancies with the stakeholders and apply required changes;
• Issue documents via our or the customer’s applications during the Engineering, Procurement, Installation and Close Out phases [SharePoint, MCT, Aconex, etc.];
• Technical support, both internal and external, for our or the customer’s document control applications;
• Assist the Project Team with various documentation in order to prepare for mediation and negotiations;
• Update and maintain a project document database, including status of the various documents such as drawings, specifications, procedures, NCRs, DCRs and RFIs [in DTS];
• Prepare reports on Documentation status;
• Printing, organization and filing of documents;
• Administrative support and other related tasks to support the Projects team.

• CEGEP degree;
• Good knowledge of Microsoft Office suite (MS Teams an asset);
• Bilingual (French and English, spoken and written);
• Good oral and written communication skills;
• Proactive, with ability to work both in a team and independently.
