Project Support Coordinator
Charlotte, NC - hybrid
Summary of the role
The Project Support Coordinator is responsible for various administrative tasks to support the Project Commercial Managers in compliance with corporate and confidentiality policies. In their daily work, this person will focus on processing invoices & claims, running reports, reviewing orders, and otherwise assisting the Project Commercial Managers. This position is located in Charlotte, NC.
The following responsibilities form the core of this role:
- Invoicing:
- Assist in issuance of project invoices
- Monitor the payment transfers and follow up on delinquent payments
- Log payments in invoice log
- Collect and record vendor invoices
- Collect substantiation for payment of vendor invoices
- Ensure vendors are paid on time
- Monitor and compile craft labor hours
- Scan packing lists from site and save in associated project folders
- Purchasing:
- Review purchase orders for accuracy
- Work with other departments to finalize POs before transfer to Commercial Manager for signature
- Claim Management:
- Assist in the preparation of claims
- Collect documentation and prepare justification
- Administration:
- Assist in preparation of meeting minutes for project meetings
- Participate in phone calls as needed
- Other tasks as assigned by the Commercial Manager
- Create and maintain project Work Breakdown Structure (WBS) in SAP and project management tools
- Complete data entry into the project management tools
- Small Business:
- Update tracking of costs for small business on a monthly basis
- Search new vendors for small business certifications
- Update internal Small Business database

- Associate’s degree or above in a business, engineering or related field
- Highly self-motivated problem solver who takes initiative and maintains accountability for assigned projects.
- A professional, thorough communicator with excellent organizational skills. Able to understand and document technical terms.
- Sharp analytical eye with particular attention to detail.
- Highly proficient in electronic technologies, with proven skills in Microsoft Office including Outlook, Word, PowerPoint, and Excel. SAP experience is a plus.
- A team player who recognizes the importance of maintaining positive and productive relationships with clients, suppliers, co-workers, and management.
- Prior experience with construction contracting is helpful but not a requirement.
