The Office Administrator will be responsible for ensuring the smooth operation of the office by performing a variety of administrative tasks. This role requires excellent organizational skills, attention to detail, and the ability to manage multiple tasks simultaneously. The Office Administrator will serve as the first point of contact for employees, clients, and vendors, and will handle a wide range of administrative and executive support-related tasks.
Typical Duties
Responsibilities may include but are not necessarily limited to the following:
- Office Management – Oversees the day-to-day operations of the office. Maintains office, safety and swag supplies inventory and equipment. Coordinates with building maintenance and ensure office is kept clean and organized.
- Administrative Support – Handles incoming and outgoing mail, packages and email correspondence. Schedules and coordinates meetings, events, workshops, appointments, catering and travel arrangements both internally and for visitors
- Document Control – Produces and/or edits documents and presentations; checks documents for spelling, grammar, punctuation, and format; compiles and prepares documents for issuing/presentation; and files documents with proper revision control.
- Human Resources Support – Assists with new employee orientation onboarding and offboarding processes. Coordinates training sessions and employee development activities.
- Customer Service – Greets and assist visitors in a professional and friendly manner.
Decision Making
Makes decisions within established guidelines, procedures and practices. Demonstrates initiative in carrying out periodic tasks independently and judgement in determining the methods to apply to assigned tasks.
Supervision Received
Works under general supervision and recommendations are reviewed for soundness of judgment and application of standards and policies.
Supervision Exercised
No supervisory responsibilities.
Entrance Qualifications
- High school diploma and five years of administrative experience.
- Proficient with Microsoft Outlook, Word and Excel
- Experience with SAP and Concur is preferred
