Position Summary:

The Immigration & Mobility Assistant plays a crucial role in providing administrative support and assistance to the North America Immigration Team in processing documentation, applications, and inquiries. This role requires strong organizational skills and attention to detail to ensure a smooth transition for employees moving between locations.  

 

Key Responsibilities:

  • Assist employees with completing immigration and relocation requisitions accurately and in a timely manner.
  • Organize and maintain immigration files and records in accordance with confidentiality and data protection regulations.
  • Complete and retain foreign worker Forms I-9 & E-Verify in accordance with federal guidelines.
  • Recordkeeping, tracking and reporting of expirations dates, extensions, and adjustment of status filings.
  • Generate reports and analytics on immigration and assignment metrics.
  • Help clients gather supporting documents related to various immigration procedures. 
  • Maintain accurate immigration records and review all files periodically to ensure timely submission of all applications and petitions.
  • Organize documents and filings for review and signature by the Director of Immigration & Mobility
  • Provide additional administrative support to the Director of Immigration & Mobility with other office tasks as needed, like processing check requisitions, payment requests, and other program expenses.
  • Update database(s) and utilize case preparation/management tools effectively and efficiently.
  • Coordinate with other team members or departments as necessary to facilitate efficient workflow.

 

Qualifications:

  • Bachelor’s or associate’s degree in a related field or high school diploma and three years’ experience in a related field.
  • 1-3 years of experience in a multi-national organization is desirable.
  • Advanced level in using office software (e.g., Microsoft Office Suite) is required.
  • Requires the ability to work well under pressure to meet strict deadlines.
  • Excellent communication and interpersonal skills, with the ability to interact effectively with employees at all levels.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Attention to detail and accuracy in document preparation and data entry.
  • Strong interpersonal skills.
  • Cultural sensitivity and ability to work with employees from diverse backgrounds.

 

Please note, you will be required to be in the office full-time for at least the first six months.
